Create a New Notebook

Start a dedicated workspace for the company policy documents.

Go to NotebookLM, click New Notebook, name it clearly like 'Internal Policy - Onboarding'.

Create a separate notebook for each topic (HR policies, operational processes) instead of merging them together for easier management.

Upload Source Documents

Add all policy documents, employee handbooks into the notebook as reference sources.

Click Add Source, upload PDF/Google Docs files containing company policies, employee handbooks, and workflows.

Name the files clearly before uploading so that NotebookLM can reference sources more understandably in responses.

Verify Accuracy with Test Questions

Ensure the notebook understands the content correctly before creating the podcast.

Ask a few questions like 'What is the company's leave policy?' and check if the answer cites the correct excerpt from the original text.

If the answers are incorrect or lacking, add more relevant source documents and ask again.

Create Audio Overview

Generate a podcast segment summarizing the policy content.

Click on Audio Overview, select Generate for NotebookLM to create a dialogue between two AI voices discussing the document.

You can add custom focus instructions (e.g., 'focus on the leave policy and working hours') before generating.

Share Podcast with New Employees

Distribute the audio file to employees for listening during onboarding.

Download the audio file, upload it to the internal onboarding channel (Slack, Notion), or send directly via welcome email to new employees.

Update the Audio Overview whenever policies change to avoid employees listening to outdated information.
