Microsoft Copilot integrates AI into the entire Microsoft 365 ecosystem. Write in Word, analyze data in Excel, create slides in PowerPoint, and summarize meetings in Teams. Microsoft 365 Copilot requires a separate subscription.
Activate Copilot in Microsoft 365
Ensure the company's account has the Microsoft 365 Copilot license enabled by the administrator.
Open Word or Excel, check for the Copilot icon appearing on the Ribbon; if not present, contact IT to enable the license.
If there is no budget for a full license yet, use the free Copilot Chat first to familiarize yourself with the interface.
Analyze Data in Excel
Open the Excel file containing revenue/cost data and use the Copilot pane to ask analysis questions.
Select the data range, open the Copilot pane on the right, type a question like 'Summarize revenue by month and indicate the month with the highest growth.'
Ask specific questions with exact column names in the table to ensure Copilot answers correctly instead of misinterpreting data.
Create Automatic Trend Charts
Request Copilot to create visual charts from the analyzed data for easy presentation.
Type the command 'Create a line chart showing monthly revenue trends' in the Copilot pane and select an appropriate chart type.
Adjust the chart title and colors to match the company's branding standards before including them in the report.
Draft Explanatory Report in Word
Use Copilot in Word to write the explanatory section of the data based on the analyzed data in Excel.
Open Word, type the Copilot command: 'Write the summary of the financial report for the month based on the following data: [paste key data].'
Always review and verify the data interpreted by Copilot to ensure there are no discrepancies with the original data.
Convert Report into PowerPoint Slides
Transform the completed Word document into a presentation slide deck for the management team.
In PowerPoint, select 'Create presentation from file', upload the Word report file and let Copilot automatically build the slide framework.
Use Copilot Designer to fine-tune the layout and colors of the slides to make them more professional before presenting.

Pros
Cons
A manufacturing company needs to create monthly financial reports compiled from various Excel files detailing revenues and expenses from different departments.
Problem
Manually compiling data from multiple Excel files, writing formulas, and interpreting trends takes over 6 hours each month and is prone to errors when copying data back and forth.
Solution
Use Copilot in Excel to aggregate data, suggest formulas, and create trend charts, then use Copilot in Word to draft the explanatory section of the report.
A service company is hiring 15 new employees this quarter and needs a complete training material package and company introduction slides.
Problem
Old training materials are scattered across several Word files, and compiling them into a coherent slide deck takes several days of HR's time.
Solution
Use Copilot in Word to standardize the training material content, then use the file-to-presentation feature to convert it directly into PowerPoint slides.
